AmCad's AiLIS system provides the flexibility to customize the unique operations requirements that may vary from one recorder's office to another. A powerful, yet simple to use, graphical interface allows users to quickly utilize the system. Experienced employees will notice a significant increase in productivity, while new employees can be easily trained. Public Access users will be able do more work in less time than with current systems.


Cashiering

Transactions go through a Recording/Cashiering system where documents are assigned an instrument number, date and time recorded, book type, book and page number, and document type. The current functionality also supports automatic fee calculation based on document type, tracking of payments and printing of receipts, recording of multiple documents and payments together, multiple payment methods, suspension of transactions, production of varied reports, and processing of public fees.

Scanning

Scanning is the process by which an electronic image is created for every document page. The AmCad AiLIS Scanning Application groups the images together as one recorded document, identified by a unique instrument number, in the AiLIS system. The scanning of documents eliminates the need for the original paper document during processing. Scanning enables quick and easy access to various documents and eliminates the need to pass paper documents from one worker or department to another.

Public Inquiry

The Public Inquiry application provides the public with an easy-to-learn, easy-to-use means of accessing all indexed documents that constitute public record. Extensive search capabilities are available to assist the public in locating documents. When the desired documents are found, you may view images of each document along with any details that have been entered. A print function allows you to select all or individual pages of a document, or multiple documents for printing. The Public Inquiry application automatically tabulates your printing fee, which can be debited from an account or sent directly to a cashier for processing. The Public Inquiry Terminal window is the primary user workspace where all searches are performed.

Data Entry

Instruments coming into the office go through the AiLIS Cashiering Application where every document is assigned a unique instrument number, date and time of recording, book type, book and page number, and document type. Normally, the Scanning Application is used to scan documents after cashiering and prior to indexing. The Data Entry Application, used for indexing important information, is typically the third step of the instrument workflow. The application is built around three basic processes that serve as mechanisms for initial entry of document data and effective error proofing to provide increased data integrity. These three modes are data entry, verification, and resolution.

Admin

The AiLIS Administration application allows an administrator to oversee all other AiLIS programs. Important features of the AiLIS Administration application include: Fully customizable settings for conformation to individual government needs, user maintenance allowing for the addition and/or removal of users from the system, user maintainable tables, more than forty standard reports, reports precisely tailored to individual government specifications, extensive ad hoc reporting capabilities, account creation, maintenance, and tracking, tracking and management of AiLIS application user sessions, management of documents throughout the entire workflow, and a complete audit trail.

Vitals

AiVITALS is AmCad's solution for the needs of governments to track Vital Records documents. AiVitals provides for full end-to-end processing of birth and death records.In many states the Marriage License process is also a key component of vital records. AmCad’s AiMarriage is offered as a fully integrated option to the AmCad AiVitals application.

eFiling

The AmCad eRecording system provides a mechanism that allows documents to be submitted (eFiling) and recorded from remote locations, bypassing the delivery and processing of paper documents.
